Email Signatures & Out-of-Office Messages

Using the proper Eastern Florida State College logo, social media links, and required disclaimer in your Outlook e-mail signature is an important part of college branding. The templates below can easily be copied into your Microsoft 365 Outlook email application, and elements from each template can also be copied and combined as you customize your email signature if allowed by your department.

Steps to use the templates:

  1. Download the appropriate signature template(s).
  2. Edit the template in Microsoft Word: Replace the placeholder text with your own details. Add additional phone numbers or remove unnecessary items. Please do not change the formatting, colors, logo, etc.
  3. Select the text and image(s) in the template and Copy them to your clipboard.
  4. In Outlook, open a new message and then select Signature > Signatures. (In the browser version of Outlook, "Signatures" can be found under the Insert tab when creating a new email.)
  5. In the Select signature to edit box, choose the existing signature you want to edit or create a new one.
  6. Paste the signature images and copy into your Outlook Signature.
  7. When you're done, select OK to save the changes to your signature.

Out-of-Office Message Templates

These templates can be a "copy, paste, and edit" starting point for your out-of-office automatic reply messages within the Microsoft 365 Outlook email application. Check with your supervisor if a specific out-of-office message protocol is in use by your team.

Holiday Closure Message

Thank you for contacting me. Eastern Florida State College will be closed on Thursday, July 4 in observance of Independence Day. During the closure, you may find useful resources on the college website. All college operations, classes, and services will resume on Monday, July 8. I will get back to you as soon as possible after the college reopens.
