Every employee of the College creates or distributes records in the ordinary course of work. Accordingly, all College employees have a responsibility to retain and properly dispose of records. The length of time an employee is required to keep a college record is based on the record's content and the appropriate records retention schedule.
Emails, memos, meeting minutes, and reports are all records that fall under these guidelines. Every employee can work more efficiently if he or she knows what to preserve, where and how to store records, and when to dispose of them.
A retention schedule is defined as a table describing categories of records, providing a length of time they should be kept, and including instructions for disposition. Some periods of time that records must be kept are defined by state or federal law.
The College records retention schedule is published on the intranet (found in the insideEFSC section of the portal after logging into myEFSC) and is maintained by a Records Retention Committee, comprised of representatives from all administrative areas and faculty.
